Passport and Identity Documents for Shipments | Ratin

Understand identity and representation requests without treating a passport as a universal cargo document.

General educational guidance. Confirm current requirements for your goods and procedure; no rates, deadlines or outcomes are guaranteed.

Is a passport always required?

No universal passport requirement for every commercial shipment is established by the Ministry sources cited below. Requirements depend on the procedure, the person or company involved and the responsible carrier or customs administration. This guide is about shipment preparation, not passport applications, visas or immigration advice.

Identify the party and the role

Clarify who is importing or exporting, who is responsible for transport and who is authorised to make declarations. A personal identity document, a company identifier and evidence of representation answer different questions; they are not interchangeable. Ask for the exact document requirement and its purpose rather than sending an entire identity file by default.

A representative is not automatically a broker

The Ministry explains that persons and companies can conduct their own customs transactions or appoint a customs broker with a notarised power of attorney. Appointment and authorisation must be appropriate to the actual procedure. Ratin is not a licensed broker and does not become your customs representative simply because you submit an inquiry.

Respond safely to document requests

Verify the requesting organisation through an independently obtained contact channel. Ask why the document is needed, which fields are required, who receives it and which secure submission method is available. Do not send passport scans to Ratin's public question box or initial contact form. Do not alter required evidence without first confirming what the recipient accepts.

Practical preparation checklist

  • Identify whether the shipment belongs to a person or legal entity.
  • Confirm the applicable procedure with the carrier or customs administration.
  • Establish who may act and what authorisation is required.
  • Keep identity evidence separate from product, value and origin evidence.
  • Agree a secure channel and retain the request reference.

If requirements differ between parties

Ask the carrier and responsible declarant to resolve the difference before dispatch. A carrier's operational request is not by itself proof of a universal statutory passport requirement. Ratin can help organise these questions; it does not issue passports, validate immigration status or guarantee acceptance.
